EAIE is a congress with over 7000 delegates and travels through Europe. With multiple session rooms, campfire and poster sessions, Wi-Fi is of vital importance for EAIE. Not only are voting and polling conducted via Wi-Fi in almost every session, but an exceptionally high number of delegates also rely on it for working and networking online. Reliable wireless internet access can therefore be considered a critical part of the congress.

At EAIE 2025, Wi-Fi faced two major challenges. First, the venue’s network was in the middle of a migration to a new Wi-Fi brand. This meant that during the congress a section would run on the new system, while another part still depended on the old one. The second challenge was that the event took place across two venues (Svenska Mässan and Scandinavium) which are two different companies. Each company has its own network philosophy and configuration. As a result, Wi-Fi at EAIE 2025 consisted of three different Wi-Fi brands, managed by two separate companies.

In addition to Wi-Fi consultancy, Micemedia provided two specialists on Presentation Management to assist speakers with implementation of polling and voting in their presentations.

What did Micemedia provide

Micemedia delivered dedicated Wi-Fi consultancy services, fully taking over coordination on behalf of the client. This began with gathering congress specifics such as room and area setup and expected traffic flows, combined with the required functionalities like voting and polling. Using this information, along with Wi-Fi usage data from previous events, we created a first “blueprint” of the Wi-Fi needs.

This blueprint was shared with the venue and followed up by an online meeting to explain Micemedia’s suggested process and align with the venue’s ideas, suggestions, and network specifications. Several months before the event, Micemedia conducted a site visit to inspect both venues. With the help of a spectrum analyzer, the Wi-Fi setup was thoroughly assessed. Following the visit, a detailed list of improvements was provided to optimize the network for the congress.

Closer to the event, further fine-tuning took place. Updated “heatmap” reports—showing Wi-Fi coverage in color—were analyzed by Micemedia to ensure readiness. Two days prior to the congress, Micemedia arrived on-site for a final check. At our request, a Network Operations Center (NOC) was installed, providing essential live network data for proactive monitoring of all components and usage.

The result was a seamless Wi-Fi experience across both venues, via the three Wi-Fi brands in all areas of the congress. Delegates, exhibitors, and organizers never had to worry about the fact that the network involved two companies and three different Wi-Fi brands, and support was always just one phone call or WhatsApp away. Seamless roaming and reliable connectivity were ensured everywhere—whether for online work, networking, or real-time session activities such as voting and polling, which was also supported by a small team from Micemedia.
